These terms govern your use of our website and the purchase and use of sunbed services at all GLOW. locations.
About These Terms
These terms and conditions apply to all services provided by The Glow Group (NE) Ltd, including the use of sunbed equipment, the purchase of tanning minutes, block bookings, unlimited packages, and related products, whether purchased in store, online, or through any other sales channel.
By using our services, purchasing any package or product, or accessing our website, you confirm that you have read, understood, and agree to be bound by these Terms.
We may amend these Terms from time to time. The current version will always be available on our website and at our premises. Continued use of our services after any amendment constitutes acceptance.
In the event of any conflict between these Terms and any promotional materials, voucher terms, or other communications, these Terms shall prevail unless expressly stated otherwise in writing by a director of the Company.
Definitions
Estate — All premises operated under the GLOW brand, now existing or opened in the future.
Location — Any individual premises within the Estate.
Minutes — Pre-paid tanning time, whether block, unlimited, or single session.
Session — A single use of a sunbed at any Location.
Unlimited Package — A subscription-based package providing unlimited tanning for a fixed monthly fee.
Customer — Any individual who purchases or uses our services.
Website — tanwithglow.com and any other website operated by the Company.
Eligibility and Age Restriction
- You must be 18+ to enter any sunbed room, whether or not you intend to use a sunbed
- We reserve the right to ask for proof of age at any time (passport, driving licence, or PASS card)
- You must be 18+ to purchase any tanning package, minutes, or subscription, in store or online
- You must be 18+ to create an account or make any purchase through the Website
Right to Refuse Service
We reserve the right to refuse service to any person at any time, at our sole discretion. This includes where:
- We reasonably believe the individual is under 18 and cannot provide proof of age
- Behaviour is threatening, abusive, or disruptive
- The individual appears under the influence of alcohol or drugs
- Use of a sunbed would pose a health risk (visible sunburn, disclosed medical condition, pregnancy)
- The individual has previously breached these Terms
- The individual has an outstanding debt to the Company
- For any other reason relating to health, safety, or proper business operation
No refund will be issued where service is refused due to a breach of these Terms.
Health and Safety
We strongly recommend consulting your GP before using a sunbed if you:
- Have very fair skin that burns easily (Fitzpatrick Skin Type I)
- Have a large number of moles or freckles
- Have a personal or family history of skin cancer
- Take medication that may increase UV sensitivity
- Have any skin condition aggravated by UV exposure
- Are pregnant or breastfeeding
Session Rules
- No sunbed use if sunburnt. Staff may refuse service
- Maximum one session per 24 hours — enforced across the entire Estate
- First session maximum 12 minutes — regardless of previous tanning experience
- Protective eyewear must be worn during every session. Failure may cause serious eye damage
- Follow all staff instructions regarding duration, positioning, and emergency stop
- Inform staff of any health conditions or medications before using a sunbed
The Company complies with the Sunbeds (Regulation) Act 2010 and all applicable health and safety regulations.
Use of Equipment and Premises
- All equipment remains the property of the Company
- Use equipment only in accordance with staff instructions and signage
- Do not tamper with, adjust, modify, or attempt to repair any equipment
- Leave the sunbed room clean and tidy after use
- Personal belongings are brought onto premises at your own risk
- Smoking and vaping are not permitted inside any Location
We reserve the right to close or restrict access to any Location or take any sunbed out of service for maintenance, refurbishment, or health and safety. No refund or compensation will be due for temporary closures.
Purchasing Minutes and Packages
Tanning minutes, block bookings, unlimited packages, and related products may be purchased in store or online, subject to availability. All prices are in pounds sterling and inclusive of VAT.
We reserve the right to change prices at any time. Changes will not affect packages already purchased, except for unlimited subscription renewals where we will give reasonable notice.
Payment must be made in full at the time of purchase.
Block Bookings
- Minutes may be used at any Location across the Estate
- Minutes are personal to the purchaser — no sharing, transferring, or gifting
- Any attempt to share minutes will result in forfeiture without refund
- Minutes are not redeemable for cash
- If a Location permanently closes, remaining minutes transfer to another Location or a pro-rata refund will be offered
Single Sessions
Single sessions are available at the prevailing rate displayed at the Location. A single session must be used at the time and Location of purchase. All health, safety, and eligibility terms apply.
Unlimited Packages
Unlimited packages provide unlimited tanning for a fixed monthly fee, automatically renewing every 28 days or calendar month until you cancel.
- Cancel via your online account, by email, or by informing staff. Cancellation takes effect at the end of the current paid period — no refund for remaining days
- Unused minutes at the end of each 28-day period expire and cannot be carried over
- "Unlimited" is subject to the one-session-per-24-hours rule and the first session limit
- Packages are personal to the purchaser — no sharing or transferring
- Minutes may be used at any Location across the Estate
- We will give at least 14 days' written notice of any price increase before your next renewal
- We may withdraw, modify, or replace unlimited packages at any time. Existing subscribers may complete their current paid period
Use of Minutes Across the Estate
All pre-paid minutes may be redeemed at any Location. You may need to present proof of purchase. We operate a centralised account system — your balance can be checked at any Location or online.
We are not responsible for inability to use minutes due to temporary closure, maintenance, equipment failure, or circumstances beyond our control.
Non-Transferability
All packages, minutes, and subscriptions are strictly personal and non-transferable. You must not share, lend, sell, or assign them. We operate identity verification measures. If misuse is detected, we reserve the right to refuse service, suspend or cancel the package without refund, and forfeit remaining minutes.
Promotions, Offers & Competitions
Promotions may be withdrawn or modified at any time without notice. They cannot be combined with other offers unless stated. We may limit promotional offers per customer. Free or bonus minutes are subject to the same expiry terms as the underlying package.
Refunds and Cancellations
In-Store Purchases
Once a session has been used, no refund is available. For unused block booking minutes, we may at our discretion offer a partial refund or credit.
Online Purchases
You have the right to cancel within 14 days of purchase under the Consumer Contracts Regulations 2013, provided you have not used any minutes. If you have begun using the service, we may deduct a proportionate amount. Refunds are processed within 14 days using the original payment method.
Unlimited Subscriptions
The 14-day cooling-off period applies to the initial purchase only, not subsequent renewals. Ongoing cancellation is governed by Section 10.
Website Access and Use
Access to our website is provided on a temporary basis. We may withdraw or amend the website without notice. You must not use the website:
- For any unlawful purpose
- To send or use abusive, threatening, defamatory, or obscene material
- To transmit spam or unsolicited communications
- To attempt unauthorised access to our systems
- To introduce viruses or malicious software
- To scrape or harvest data without written consent
Online Accounts
You must provide accurate information when creating an account and keep it up to date. You are responsible for maintaining confidentiality of login credentials and all activity under your account. We may suspend or terminate accounts for suspected misuse.
Intellectual Property
All website content — text, graphics, logos, images, photographs, audio, video, software, design, and layout — is owned by or licensed to the Company and protected by copyright, trade mark, and other intellectual property laws.
The GLOW name, logo, and all related names, logos, product and service names, designs, and slogans are trade marks of the Company. You must not use them without written permission.
User-Generated Content
Where you submit reviews, comments, or photographs to our website or social media, you grant us a non-exclusive, royalty-free, worldwide, perpetual licence to use that content in connection with our business including marketing. You warrant the content is your own original work and does not infringe any third-party rights. We may remove any user content at our discretion.
Third-Party Links
Our website may contain links to third-party websites. These are provided for convenience only and do not constitute endorsement. We accept no responsibility for third-party content, privacy policies, or practices.
Limitation of Liability
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any matter where exclusion is unlawful.
Subject to the above, our total aggregate liability shall not exceed the amount paid by you for the relevant service. We shall not be liable for indirect, consequential, or special loss, loss of profit, revenue, or data, or loss arising from circumstances beyond our reasonable control.
Nothing in these Terms affects your statutory rights under the Consumer Rights Act 2015.
Indemnity
You agree to indemnify the Company against any claims, liabilities, damages, losses, costs, and expenses arising from your breach of these Terms, misuse of services or equipment, violation of law, or any third-party claim arising from your use of our services.
Force Majeure
We shall not be liable for failure or delay resulting from circumstances beyond our reasonable control, including acts of God, fire, flood, severe weather, epidemic or pandemic, power failure, equipment breakdown, industrial action, government action, war, terrorism, civil unrest, or failure of third-party suppliers.
Data Protection
We process personal data in accordance with our Privacy Policy, available on our website and at each Location. By using our services, you acknowledge that you have read and understood our Privacy Policy.
Complaints
Please raise complaints with staff at the relevant Location first. If not satisfied, submit a formal complaint in writing to hello@tanwithglow.com. We will acknowledge within 5 working days and aim to respond substantively within 14 working days.
If we cannot resolve your complaint, you may refer the matter to an alternative dispute resolution provider. Details available upon request.
General Provisions
Severability
If any provision is found invalid, it shall be modified to the minimum extent necessary or deemed deleted. Remaining provisions are unaffected.
Waiver
No failure or delay in exercising any right constitutes a waiver of that right.
Entire Agreement
These Terms, together with our Privacy Policy and any specific promotional terms, constitute the entire agreement between you and the Company.
Third-Party Rights
These Terms do not confer rights on any person other than the parties. No term is enforceable under the Contracts (Rights of Third Parties) Act 1999 by a non-party.
Governing Law
These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction. If you are a consumer, nothing affects your statutory right to bring proceedings in the courts of your domicile.
